  • Taxonomy Update for IRis CommunityPoint Customers

     

      

    All CommunityPoint sites on our web servers have been updated to the current version of the taxonomy. Accordingly, it is now time for IRis CommunityPoint customers to update their taxonomy. If you have not already done so, please update using the December 2015 Archive file at https://211taxonomy.org. The release date of this file is 12/17/15.

    Your CommunityPoint and your local IRis 4.0 must use the same taxonomy version in order for the information to synch properly. Once you have updated the taxonomy in your local IRis, send an upload to your CommunityPoint site.

    Reminder: To avoid congestion, please upload as late in the day as possible.

  • Firefox and ART

     

     

    If a user is opening multiple ART reports at the same time using Firefox versions 42, 43, or 44, Java will crash. This issue ONLY affects users running multiple ART reports at the same time. It does not affect users running one ART report at a time.

    If a user needs to run multiple reports at the same time, we recommend either downgrading Firefox to version 41 and turning off automatic updates, or using Internet Explorer 11.

    We will notify you if a future version of Firefox resolves this issue.

    Are you prepping for your 2016 Housing Inventory and Point in Time Counts? We know you're busily reviewing HUD materials on the required 2016 Point in Time and Housing Inventory Counts that will be held during the last 10 days of 2016. While you're planning, we're making edits to our existing reports.

    We will be revising the following reports to meet the 2016 requirements:

    • 0629 Housing Inventory Count
    • 0628 HIC Supplement

    The 2016 Unsheltered WOrkflow is now available on CollaboranGo!

    We anticipate release of the reports in early to Mid-February, just after the count is complete but still in plenty of time to reconcile your project data for the opening of the HDX for the data submission.

    The new HUD series of CoC System Performance Measures is releasing this month (and in early February) in the ART Gallery. This series of reports is meant to be run at the CoC level by System Administrators to review measures that include Returns to Homelessness, Income Growth, Retention and Counts of Newly Homeless Clients. Please note that Provider Prompts are included as well so that Individual Projects can review their data.

  • 1/23/16 Maintenance Reminder

     

     

    Starting at 10am central time on Saturday, January 23rd we will begin performing electrical maintenance in our data center to replace an electrical transformer.

    As a result of this maintenance, ServicePoint, ART, and CommunityPoint sites hosted in our data center will be offline and unavailable from 10am - 2pm central on January 23rd.

  • TTOW: Inactive Taxonomy Terms

     

     

    I am not able to select a service for a client that is assigned to my provider's Service quicklist. I have checked the provider and the service is listed as provided by that provider as well as listed on the quicklist, but it still isn't showing up on the quicklist. What am I missing?

    If a service is marked as "inactive" in the AIRS Taxonomy, it will not show up in your services quicklist when assigning services. If this service is indeed available, you can reactivate this service by opening the AIRS Taxonomy from the Admin section of ServicePoint and then searching for the service, selecting it, and then activating it in the bottom right pane of the Taxonomy window.

    Project Descriptor Data Elements

    Attention all System Administrators:

    Have you filled in all the HUD required Administrative fields? These data fields are used in the HMIS APR, for HUD and Federal Partner reporting and will be used for the new HUD System Performance Measure reports that will release at the end beginning of 2016.

    The HUD System Performance Measures Reports (the new 700 series of reports) will use only the NEW HUD Project Descriptor Data Elements fields and will NOT bring in retired fields like CoC Code.

    • In particular you will want to focus on correct CoC Codes, correct Project Types and correct values for Emergency Shelters in the Method for Tracking Emergency Shelter Utilization.

    Check your data quality and completeness today in the 0227 Project Descriptor Data Elements v3 report!

    RHYMIS Upload Process Update

    Reminder - your RHY Grantees should be prepared to submit their uploads to RHYPoint. If there are multiple grants for the RHY Projects, please create a Reporting Group for them so they can submit all of the data in one file.

    The deadline for final submission is December 8, 2015. They should not wait until next week to begin the process!

    ServicePoint 5.12.4 introduced ability for RHY grantees to export their data from ServicePoint. The following steps illustrate the process to export data, and more details (including screenshots) are available in the ServicePoint 5.12.4 Release Notes.

    1. The grantee will go to the Reports module and click on the new Rhymis Export button at the bottom of the page.
    2. This page will display any exports that user has kicked off in the past. Also from this page, the grantee will be able to start a new export by clicking the 'Start New Export' button.
    3. Next, the user will need to enter a Name to identify the export, Description (optional), the Entry types to include (RHY, HUD, or both), and the standard Provider/Reporting Group/Start Date/End Date parameters that many of the canned reports have.
    4. Clicking the 'Run Export' button will kick off the export process.
    5. The export will be scheduled to run behind the scenes. The page where the grantee clicked 'Start New Export' will now show a new row for this recently kicked off export. The Status column will indicate whether the export is Pending, Scheduled, Running or Completed.
    6. Once the export is Completed, the resulting file can be downloaded by clicking the magnifying glass and then clicking the 'Download Results' button on the pop-up that appears.
    7. A compressed data set will be downloaded and can be imported through the RHY Upload Portal.

    Importing the data:
    Login details have been sent by the American Institutes for Research (AIR) to all of the RHY grantee authorized representatives. Using this information, grantees will be able to log in to the RHY upload portal. Once inside, grantees will be able to follow the steps AIR demonstrated in the "Learning to Upload RHYMIS Data" webinar conducted on October 29, 2015. A video recording of this webinar and a user manual will be available on the www.RHYTTAC.net website.

    A Note About the AHAR

    You may have noticed in this year's AHAR, that you may receive missing data errors for disability type if only "chronic health conditon" is listed

    If this is the case, there is no need to worry. This year's AHAR does not recognize "Chronic Health Condition" as a value but next year's AHAR will. In the meantime, there is no need to adjust the answers for your clients. Abt Associates, the firm that reviews the AHAR submissions, is aware that the report counts in this way and should not reflect negatively on the submission.

  • TTOW: Easy Service Transaction Recording

     

     

    My provider offers services that are typically delivered and completed in one day, such as showers or clothing. What can I do to streamline the service record entry process?

    You can have ServicePoint automatically populate the end date for the service to match the start date to reflect a one day service. From the provider Admin section of the Admin panel, click the Module Settings tab and then the ServicePoint Settings icon. From the Services section, enable the option "Automatically populate the Service End Date with the Service Start Date when adding services". This is a provider setting so feel free to set this setting without fear of it affecting the rest of your providers.

    HUD has notified all software vendors that the release date of the new APR is delayed as e-snaps is not yet coded to accept the changes. HUD expects projects to continue to use the current APR (available in our ART Gallery) until e-snaps is updated.

    The updated Provider Report (canned) version of the APR will be available in late December or early January. We will keep you updated as we learn more!

    Beginning in 5.12.2 users will need to manually Login to ART:

    In an effort to improve ART performance, a change has been made to the ServicePoint login sequence. In previous versions, a connection to ART occurred immediately upon successful login to ServicePoint. With this update, initiating a connection to ART will require that the user click the Connect To ART link to access the reporting tool. This change will ensure that connections to the ART service are limited to those actively using the reporting tool. (See Figure 1)

    If a user has dashboard ART reports on their homepage, that user will NOT be affected by this adjustment. They will be automatically logged in as usual in order to keep the dashboard reports functional.

    AHAR Updates

    This year there will be several minor changes to the AHAR report. We will be making the following changes:

    1. Age Category changes = the 18 to 30 age group will be broken out into age categories of 18 to 24 and 25 to 30 in the first section of the report only.
    2. Zip Code of Last Permanent Residence is no longer required. You may ignore these fields, and the HDX will ignore any values in these fields.
    3. We will add the RHY EE type to the report for all categories.

    We hope to release these changes ASAP - an update will come this afternoon via NewsFlash.

    In the meantime, the report can still be used to begin the data cleaning process.

    There are a lot of tabs in ClientPoint that don't fit my workflow. Can these be adjusted?

    Yes, they can. With the update to 5.12 we have added the ability to reorder and disable tabs on the ClientPoint screen. From the Provider Admin, open the Module Settings tab and then the ClientPoint module settings tab. From here you can select tabs to hide or display or even reorder them so that they fit your customized workflow.

    We will use the GoToWebinar service for these meetings. We'll be presenting a lot of information and GoToWebinar will allow us to use the full 60 minutes to move through our agenda. Since the Webinar service puts all the attendees on mute, be prepared to type your questions into the "chat feature". We'll answer questions as time allows; and ALL questions will be answered via email after the meeting. We plan to record this meeting and will distribute the meeting link to all registered attendees (so, if you want us to send you the link to the recorded meeting, please register even if you cannot attend the meeting).

  • TTOW: Running the PATH Report

     

     

    When running the PATH report, there are no clients listed at all inmy report for " Total number of persons who were Outreached/Contacted during the current reporting period," "Total number of persons who were Outreached/Contacted that became Enrolled during the current reporting period," and "Total number of contacts made this reporting period."  I have double checked the clients and they were indeed contacted.  What gives??

    Make sure the provider that made the contacts is not listed as "Services Only" in the "HUD Standards Information" section of the "Standards Information" tab in Provider Admin.  Set this to Street outreach and the clients should populate the report.

  • Windows 10 Upgrade

     

     

    Windows 10 Upgrade

    With the release of Windows 10, many users have asked us if they could take advantage of the free upgrade to Windows 10 while it is available and others have asked about new hardware that comes pre-installed with Windows 10.

    We have tested Windows 10 on our systems and we have not found any significant items that should prevent a user from upgrading. However, there have been a few minor issues identified that users should be aware of before upgrading. When using the new Microsoft Edge browser:

    1) When trying to print a popup window, the printing does not format correctly and may cause irregularities.

    2) There have also been instances of ID cards not appearing. These issues appear to only be associated with the new Edge browser. Firefox, Chrome and older versions of Internet Explorer will function as usual.

    Please verify with your internal IT department before upgrading.

    With the release of version 5.12.2, we have made an adjustment to the way ART logs users in.  This is to mitigate the frequent ART outages by reducing the number of unneeded logins to the ART servers.  This adjustment will no longer automatically login a user that has an ART license to ART when they login to ServicePoint.  The user will be logged in when they access ART directly.  No prompting or passwords will be necessary.  However, if a user has dashboard ART reports on their homepage, that user will NOT be affected by this adjustment.  They will be automatically logged in as usual in order to keep the dashboard reports functional.

    If a client has never been homeless, can I leave the total number of months homeless blank?

    Yes, if you the answer for "Total number of months homeless on the street, in ES or SH in the past three years" is set to "Never in the 3 years (HUD)" then leaving the question "Total number of months homeless on the street, in ES or SH in the past three years" blank will not count against your data quality. You can view the dependent questions in the 213 report or in the Report Manual in ART.

This report gives client count information about unaccompanied youth ages 0-24 served in the CoC during FY 2013 and FY 2014 and is to be used to fill out section 3B-2.8 of the CoC Collaborative Application. The hard coded dates in this report are per HUD specifications.

    Last week we released Version 8 of the "0635 - NOFA CoC Application Section 2D" report for the purpose of identifying null/missing and Client Doesn’t Know/Client Refused answers. We will release a minor modification on October 24, 2015 (to add Exit date to the detail tab and to use Exit Destination where present if two transactions are recorded on the same date.     HUD has notified all software vendors that the release date of the new APR is delayed as e-snaps is not yet coded to accept the changes. HUD expects projects to continue to use the current APR (available in our ART Gallery) until e-snaps is updated.

    The updated Provider Report (canned) version of the APR will be available in late December or early January. We will keep you updated as we learn more!

    If a client has never been homeless, can I leave the total number of months homeless blank?

    Yes, if you the answer for "Total number of months homeless on the street, in ES or SH in the past three years" is set to "Never in the 3 years (HUD)" then leaving the question "Total number of months homeless on the street, in ES or SH in the past three years" blank will not count against your data quality. You can view the dependent questions in the 213 report or in the Report Manual in ART.

    RHY Referrals

    In order for RHY referrals to be included in the ServicePoint RHY export, the Need Provider must be one of the providers selected when running the export. There are two ways to achieve this:

    1) When creating referrals via the Add Referral option, the Need Provider is automatically set to the user's default provider or EDA provider (if in EDA mode). The user will need to be sitting at the RHY provider when creating the referral to ensure the Need Provider is set correctly.

    2) The second option is to create the need first via Add Need and then add the referral once the need is saved. When creating a need this way, the Need Provider can be adjusted to be the RHY provider.

  • TTOW: Backdating Entry / Exits

     

     

    I keep hearing about Backdating Entry / Exits. What's the deal?

    While backdating mode was at one time required to enter data on the Entry, it is not required to do so. Entries will automatically back date to the entry date upon creation. Since HUD/Federally funded programs are required by HUD to use the Entry Exit workflow now, backdating mode is not required. If you are not affiliated with a HUD or Federally funded program, you will still need to enter information on a start date of a service with a service workflow, you will still need to use backdate mode.

    Do Your Users Understand How to Enter Annual Assessments?

    HUD defines these as "a specialized subset of the ‘update’ collection point. The annual assessment is to be recorded no more than 30 days before or after the anniversary of the client’s Project Entry Date, regardless of the date of the most recent ‘update’ or ‘annual assessment’, if any [annually]."

    In terms of workflow, this means that each client who remains in the project for 365+ days should have a recorded Annual Assessment each year on or around their "Anniversary Date" or Project Start Date. During this form of "update" your users should select Add Interim Review and use the Annual Assessment drop down option, fill in any changes and Save and Exit.

    We recommend, in order to avoid any conflict with the operating year end date, that all Annual Assessments be conducting in the "30 days before" window as data collected after the operating year is not reported in the CoC APR per HUD guidance.

    AHAR Report Updates

    This year there will be several minor updates to the AHAR report. We have just received the needed xml code changes from HUD and you will not be able to upload your data (or manually add your data) to the HDX until the coding changes are complete.

    We will be making the following changes:

    1. Age Category changes = the 18 to 30 age group will be broken out into age categories of 18 to 24 and 25 to 30.

    2. Zip Code of Last Permanent Residence is no longer required. You may ignore these fields, and the HDX will ignore any values in these fields.

    3. Per a HUG AHAR partcipation memo we will include a CoC Location Filter. This filter/data field will not be a part of the export but rather is used to limit the dataset to clients served by the CoC.

    4. We will add the RHY EE type to the report for all categories.

    We will announce the availability of the changes in an upcoming NewsWire. The report can still be used to begin the data cleaning process.

    RHY Grantee Updates

    Bowman Systems is excited to share with you the news that we have been selected as the vendor who will manage the RHY Repository. We will be working in conjunction with American Institutes for Research (AIR) and the National Safe Place Network (NSPN) on this project.

    In order to facilitate the data transfer we have created a modified version of SyncPoint. This version is highly streamlined to allow RHY grantees to easily upload their data. Full training materials are currently being developed by AIR and NSPN and will be distributed shortly.

    Similar to the SSVF process, RHY Repository grantees will run and download a report from their ServicePoint site and then log into the modified SyncPoint site to upload the file. The following day, the grantee will receive a Data Completeness/Quality report via email. If the report results are satisfactory no further action is needed; otherwise if not, grantees can make edits to data and resubmit the file. Be on the lookout in the next week for more information on how your RHY grantees will access the modified version of SyncPoint. Note: there will be no charge for access.

    Remember, the operating year for this RHY upload is October 1, 2014 to September 30, 2015. Data for all clients served during this time frame by all RHY project types should be included in the upload. Though RHY grantees will receive Data Quality/Completeness reports during the upload process, we encourage your grantees to start checking Data Quality and Completeness now. Over the next several weeks we will release reports to assist your grantees with data quality and workflow guidance on how to ensure that referrals are entered correctly.

    A formal announcement is pending from FYSB, but as an FYI, the RHY Repository upload window will be open from November 16, 2015 to December 8, 2015.

    Try checking to see if they were allocated to a provider that is not set as "uses ServicePoint" in Provider Admin.  If a provider is set this way, they will not appear in the provider list in the License Admin. You can run the 0122 - ART License Management Report from ART to get a more detailed look at the license distribution.  But keep in mind, this report is only as up to date as the last ART build.

    CoC Program Collaborative Application Reporting (NOFA) Update:

    The ART Gallery currently contains two reports that have been used historically for the CoC Program Collaborative Application. These are the "0635 - 2013 NOFA CoC Application Section 2D" and "0636 Project Participant 5A-5B NOFA 2013-2014" reports.

    We are updating the 0635 Data Quality Report to facilitate reporting for Section 2D-1 of the CoC Program Collaborative Application. The updated 2015 version of the 0635 will release on October 10th.

    The "0636 Project Participant 5A-5B NOFA 2013-2014" report is being retired and removed from the ART Gallery this week. This is due to clarifications in the 2015 Project Application Detailed Instructions that clarify the intent of the 5A and B sections. Per the Detailed Instructions "The numbers on Screen 5A are intended to reflect the households and persons proposed to be served on a given night when the project is at full operational capacity. It should also match the program participant population reflected in the most recent grant agreement, as amended." AND "Screen 5B is meant to represent a detailed subpopulation breakdown of the persons reported in the three housing types on Screen 5A. Just as with Screen 5A, the numbers here are intended to reflect the households and persons proposed to be served on a given night when the project is at full operational capacity." Your project applicants should not use a report to generate the numbers for this section.

    Help!  I seem to be missing ART licenses.  My license Admin says that I have more licenses that I am able to locate when I view the list of providers.  Where did they go?

    Try checking to see if they were allocated to a provider that is not set as "uses ServicePoint" in Provider Admin.  If a provider is set this way, they will not appear in the provider list in the License Admin. You can run the 0122 - ART License Management Report from ART to get a more detailed look at the license distribution.  But keep in mind, this report is only as up to date as the last ART build.

    ESGCaperUpdate put in place to better align with the 2014 HUD Data Standards as well as the 2015 updates. For example, Health Insurance information is now included in the report as well as counts related to those fleeing Domestic Violence situations. The updated report will also include information on Exit Destinations as well as the client's Living Situation Prior to Program Entry.

    The updated report will be available to users prior to the October 1st availability deadline.

    CoC APR - Canned Report

    Over the years, we've received a great deal of feedback about the CoC APR and how beneficial it would be to make this a "canned" ServicePoint report as opposed to an ART report. This year, we have decided to make that move and add the CoC APR to the "canned" reports section of ServicePoint. This means the report can be accessed via the Reports module directly in ServicePoint as opposed to accessing the report through ART.

    This report will be released in time for the November 1st CoC APR availability deadline.

    HUD Data Dictionary - 2015 Update

    ServicePoint will be updated in the coming week to integrate recent changes to the HUD Data Dictionary. These changes include mapping existing data to align with a wording update to the "Length of Time on Street, in an Emergency Shelter or Safe Haven" (3.17) to better determine the client's frequency of homelessness. Program specific changes will include the ability to determine if the client is fleeing a domestic violence situation with the addition of a new question (4.11). For RHY programs, there are changes to the Sexual Exploitation questions (4.35a) and new Labor Exploitation related questions (4.35b) to better understand frequency and severity. Two new questions will be added to allow users to record HP Screening Scores (4.44) as well as the client's VA Medical Center Station Number (4.45) for your SSVF programs. HOPWA programs will also receive new questions related to the client's T-cell count and Viral Load (4.47).

    The new questions and changes to existing questions will be applied where applicable to the Bowman-created assessments originally included in the ServicePoint 5.11 2014 HUD Data Standards release.

    An alternative to Gleason Road Parking:

    As you are heading west on WEST MISSION BAY DRIVE continue to Gleason Road.
    The Bahia Resort Hotel is at the corner of West Mission Bay Drive and Gleason Road and our sign is clearly visible.
    Make a right at the light.  If you are a day guest, then take an immediate right into the city parking lot directly across from the Bahia Hotel.
    There is no charge for parking in the city parking lot.

    SSVF Data Quality Report Issue

    An issue has been identified with the SSVF data quality report included in ServicePoint that reports missing data for all clients for the Homeless Living Situation data element.  Our developers are aware of this and are working on a fix for this that will be included in the upcoming 5.11.25 version of ServicePoint.  Please be assured that this issue only affects the data quality report and not the actual data export.

    Our developers are also in the process of generating a technote for this report which should be out in the coming weeks.

  • TTOW: Exporting CoC Codes

     

     

    I am having trouble getting my CoC code to import into my SSVF exports. I see the code in the assessment.  What am I missing?

    This code is triggered to pull into the export based on a provider setting, "Continuum Project". This setting is found in Provider Admin > Standards Information, then
    scroll down to HUD Standards Information. Make sure that "Continuum Project" is set to "Yes" and then the CoC code should pull into the export as normal.

    Important RHY Grantees Updates

    As you should all know RHY grantees should officially be entering data into ServicePoint at this point. Data must be back entered for all clients served from 10/1/14 and going forward.  You may use the 0252 Data Completeness Report Card to start to check for missing data.  We will release a new RHY data quality report in the next month.  

    Remember that each RHY provider must have the Provider Grant Type set to RHY to properly see the Service and Referral Type drop downs for the RHY program.  The RHY export will capture data from the RHY type and not from the AIRS code selected.

    Per HUD, via HHS, clients do not have the option to “opt” out of HMIS as they do with some other programs.   Also, clients who are under 18 (served alone or with other under 18 year old clients) must NOT have any data shared in the system with other providers unless a parent gives consent. This includes name or other demographic information.

    Important clarification/update: Beginning immediately, RHY clients may not be entered using the "Unnamed" functionality.  This information was received via a clarification from the HUD AAQ.  "Unnamed" only allows for De-duplication within your own implementation but will not allow for full De-duplication once the Repository receives the client level data.  You MUST use other visibility settings to protect the privacy of the unaccompanied youth (under 18 clients).  You do not have to go back to clients already entered to revise their client records.

    Scheduled Network Maintenance

    Starting at 9am central time on Saturday, August 29th we will begin performing network maintenance to replace our backup power generator with a newer and better performing model.

    This upgrade will provide increased reliability and backup power availability in the event of an unexpected prolonged power failure. We expect the replacement process to be complete by 5pm central time.

    As a result of this maintenance, all ServicePoint, ART, CommunityPoint, and HousingPoint sites hosted in our data center will be offline and unavailable from 9am - 5pm central on August 29th. Customers who have purchased our Premium Disaster Recovery service will be able to access their ServicePoint site via an alternative URL. ART, however, will not be accessible. We will provide instructions on how to access your ServicePoint site prior to the maintenance window.

    CommunityPoint sites will display a scheduled maintenance message detailing the times the sites will be unavailable. The message will display in both English and Spanish.

     

    Thank you for your understanding as we work to improve the reliability and integrity of our data center.

    New CoC APR Data Quality and Completeness Report

    It is time for IRis CommunityPoint customers to update their taxonomy.  If you have not already done so, please update to the July 2015 archive.  This update has already been applied to all CommunityPoint sites on our web servers.  

    Your CommunityPoint and your local IRis 4.0 must use the same taxonomy version in order for the information to synch properly.  Once you have updated the taxonomy in your local IRis, send an upload to your CommunityPoint site.

    VA Announces Availability of SSVF Funds for WY, NE, IN - Up to $3.5 million available, applications due Sept. 1, 2015

    The Department of Veterans Affairs (VA) has released a Notice of Funding Availability (NOFA) for the Supportive Services for Veteran Families (SSVF) program.

    VA is making funding available for up to four awards, not to exceed $3.5 million. Up to two awards will provide up to $3 million for services in the State of Wyoming. An award of up to $1 million will be available to provide services in western Nebraska. An award of up to $60,000 will be made available to provide services to Lake County in the State of Indiana. VA may make adjustments to proposed budgets submitted by applicants to ensure that the overall funding from this NOFA does not exceed $3.5 million.

    The SSVF Program's purpose is to provide supportive services grants to private non-profit organizations and consumer cooperatives, who will coordinate or provide supportive services to very low-income veteran families who: (i) Are residing in permanent housing; (ii) are homeless and scheduled to become residents of permanent housing within a specified time period; or (iii) after exiting permanent housing within a specified time period, are seeking other housing that is responsive to such very low-income veteran family's needs and preferences.

    The deadline for applications is Sept. 1, 2015.

  • Reporting Client's Income

     

     

    Reporting Client's Income

    I'm having issues reporting a client's income.  The income for the client changed, so i changed the income on the record.  Why is it negatively affecting my reports?

    The reason this is happening is because the income records in the sub-assessment are a "snapshot" of the client's situation at that point in time.  The correct thing to do here to keep the reporting accurate, is to end date the existing income record, and then create a new record with a new start date (usually the next day) with the new amount.  This will accurately represent the client's situation at that point in time. This will also work for non-cash benefits, disabilities, and health insurance sub-assessments.

    See the following example:

    Client enters a shelter on 7/1/15 and a new entry is created.  At that time the client is receiving $500/month in earned income.  The client is not receiving SSDI.

    On 8/1/15 the client reports that his earned income has dropped to $250/month and he is now receiving SSDI.  

    An Entry/Exit Interim "Update" is created.  Using the Interim Entry/Exit, find the current earned income record and add an end date before the Interim Entry/Exit date. Do not change anything else on the record since each record is a snapshot in time.

    Create a new Earned Income record showing the new amount and start date matching interim Entry/Exit date and yes for receiving income sub-assessment question.
            
    Use the same steps for the new SSDI.

    Important RHY Grantees Updates

    As you should all know RHY grantees should officially be entering data into ServicePoint at this point. Data must be back entered for all clients served from 10/1/14 and going forward.  You may use the 0252 Data Completeness Report Card to start to check for missing data.  We will release a new RHY data quality report in the next month.  

    Remember that each RHY provider must have the Provider Grant Type set to RHY to properly see the Service and Referral Type drop downs for the RHY program.  The RHY export will capture data from the RHY type and not from the AIRS code selected.

    Per HUD, via HHS, clients do not have the option to “opt” out of HMIS as they do with some other programs.   Also, clients who are under 18 (served alone or with other under 18 year old clients) must NOT have any data shared in the system with other providers unless a parent gives consent. This includes name or other demographic information.

    Important clarification/update: Beginning immediately, RHY clients may not be entered using the "Unnamed" functionality.  This information was received via a clarification from the HUD AAQ.  "Unnamed" only allows for De-duplication within your own implementation but will not allow for full De-duplication once the Repository receives the client level data.  You MUST use other visibility settings to protect the privacy of the unaccompanied youth (under 18 clients).  You do not have to go back to clients already entered to revise their client records.

  • TTOW: Sending VI-SPDAT Scores

     

     

    We have been gathering VI-SPDAT data on all our clients.  Is there a way that we can send the VI-SPDAT score to an agency along with a referral?

    Yes, there is.  You can automatically attach VI-SPDAT scores to outgoing referrals by doing the following.  From the Provider Admin of the Referring provider, go to Module Settings>ServicePoint Settings. Scroll down to the "Referrals" section and enable the "Enable VI-SPDAT Score to be associated with Referrals" option. Turning this feature on will attach the VI-SPDAT scores of the clients to the referrals from this provider.  

    Keep in mind, this is a provider setting and it will need to be set for all providers you would like to have access to this feature.

    Scheduled Network Maintenance

    Starting at 9am central time on Saturday, August 29th we will begin performing network maintenance to replace our backup power generator with a newer and better performing model.

    This upgrade will provide increased reliability and backup power availability in the event of an unexpected prolonged power failure. We expect the replacement process to be complete by 5pm central time.

    As a result of this maintenance, all ServicePoint, ART, CommunityPoint, and HousingPoint sites hosted in our data center will be offline and unavailable from 9am - 5pm central on August 29th. Customers who have purchased our Premium Disaster Recovery service will be able to access their ServicePoint site via an alternative URL. ART, however, will not be accessible. We will provide instructions on how to access your ServicePoint site prior to the maintenance window.

    Chrome Changes and Java Plugin

    Google's recent changes to how their Chrome Browser handles certain plugins has affected ServicePoint and ART users since the latest Chrome update.

    Since Chrome will no longer be supporting the Java plugin, ART users that need to edit reports will need to use another browser that supports the Java plugin in order to edit these reports. Users that are scheduling reports using ART dashboard reports will be unaffected. Also, because of the new Google update, there is a known issue with printing from within ServicePoint. If selecting the printer icon at the top of an assessment, the browser will timeout and the print will fail.

    There is a workaround for this: Until a fix can be coded for this issue, you can select "Print Entry/Exit" Summary" or "Print Assessment" at the bottom of the page. These options still function correctly.

  • TTOW: PATH and RHY Referrals

     

     

    My PATH and RHY providers are having difficulty pulling in referrals for their respective reports. What can I do to make sure the referrals pull in?

    For referrals to be populated in the reports, the user must be either assigned the the provider creating the referral or have that provider in the user's EDA group and the user enter EDA mode for that provider. This is especially important for RHY and PATH providers in order to get the required elements to properly pull in to reports.

    Is there a way I can add multiple providers to a Release of Information?

    Yes, there is. If you go into System Preferences in the Admin Panel and the activate the setting for "Allow the selection of multiple providers when adding Releases of Information" then, for the provider that will be creating the ROI, go into the Provider Admin for that provider, then to Module Settings, ServicePoint Settings and then activate the setting "Allow the selection of multiple providers when adding Releases of Information. One ROI will be created per selected provider" this will enable the feature.

    After these options have been enabled, when creating a new Release of information, you will have the option to select multiple providers to attach to an ROI.

    We are currently in the process of finalizing the PATH script that will convert historic PATH data from the "old" PATH workflow to the New Data Dictionary workflow and requirements. We expect that the script, and updated PATH Transition report, will both be available in early February. We will announce availability via NewsWire. The script will only be required for customers who have PATH grantees who have used the PATH report prior to the implementation of the 2014 Data Dictionary requirements.

    Taxonomy Update for IRis CommunityPoint Customers

    All CommunityPoint sites on our web servers have been updated to the current version of the taxonomy so it is now time for IRis CommunityPoint customers to update their taxonomy. If you have not already done so, please update using the current update file at https://211taxonomy.org. Before updating IRis, open the file and verify the release date as 12/2/14. If you wait any amount of time to update the current file may have changed and you will need to download an archive file.

    Your CommunityPoint and your local IRis 4.0 must use the same taxonomy version in order for the information to synch properly. Once you have updated the taxonomy in your local IRis, send an upload to your CommunityPoint site.
    Reminder: To avoid congestion, please upload as late in the day as possible.

    Updating Referral Outcomes via the Referrals Report

    Now you can clean up all of those outdated Referrals that have been cluttering up your report! 

    With the addition of ServicePoint 5.10.0 comes the ability to update referral outcomes for multiple referrals at the same time via the Referrals report on the Reports dashboard. To run the Referrals report, click the Reports button in the list of modules on the left of your ServicePoint site, and from there go to the Referrals report. Choose your Provider(s), whether you want incoming or outgoing referrals, and date range. You can further filter the list to only outstanding or closed referrals and also by the Referral Outcome itself.

    Once you generate your Referrals report, there will be checkboxes on the left for each referral. To update multiple referrals at once, simply click the checkbox for each of the desired referrals, and at the bottom of the Referrals report click "Update Referral Outcome". A new screen will appear that will let you set the Referral Outcome to your chosen value for all of the referrals that you previously checked. Note that this functionality is only available for users with a User Role of Agency Administrator and above.

    ART 3.1:  How to Clear Your Browser Cache/History

    Some customers are receiving the following error message when attempting to use ART with “view” mode: “Internal Error: the value of the parameter lang is inval id. (Error: INF)”.

    This error message is easily resolved by clearing the internet cache for your browser (IE, Firefox, Chrome). See below for instructions on how to clear the cache per browser:

      

    Internet Explorer: Click the Tools icon in Internet Explorer (1) and click “Delete browsing history” (2).

     

     

    While most browsers require all options to be checked for clearing history, Internet Explorer 11 has one option that needs to be unchecked: “Preserve Favorites website data” (1). Make sure all other options are checked (2) and click Delete (3).  

     

     

     

    Google Chrome:  Click the customize/control/settings icon in Google Chrome (1) and click History (2).

     

     

    In the Clear browsing data pop-up, select “the beginning of time” for the time period (1) and check all boxes (2). Click Clear browsing data (3).

     

     

    Mozilla Firefox:  Click the Menu icon in Mozilla Firefox (1) and click Options (2). 

     

     

    In Options, click on the Privacy icon (1). Under History, click the text “clear your recent history” (2)

     

     

    In the Clear All History pop-up, select “Everything” as the time range (1) and check all boxes (2). Click “Clear Now” (3).

    Please remember that the volume of customers accessing ART this week will be higher than usual which may result in slower report run/scheduler times. If you come across questions as you examine your custom reports, please open a case in the portal so that we can assist you.

    Important Java information:

    On January 20, 2015 the link for Java 7 Update 72 expired. We recommend that if you still need to upgrade your Java that you upgrade to Java 7 Update 76. Before upgrading your Java we recommend that you clear the Java Cache (see steps below) and remember that you must first uninstall all currently installed Java versions/updates before installing the new version.

    Download instructions for Java 7 Update 76:

    1. Download Java 7 Update 76 from this link
    2. Please download this file: "Windows x86 Offline"
    3. Close all browsers
    4. Open Java 6 Control Panel and clear Temporary Internet Files
    5. Uninstall all currently installed Java versions/updates
    6. Install Java 7 Update 76
    7. Open Windows Control Panel
    8. Double-click on Java icon
    9. Go to Update tab
    10. Un-check the "Check for Updates Automatically" box
    11. "Java Update - Warning" box will appear and click on "Do Not Check"
    12. Close Java Control Panel using "OK" button
    13. Re-open browser and access ServicePoint/ART

    Going to the Update Tab and following those steps will ensure Java 8 doesn't automatically install on the computer. The "Windows x86 Offline" version is the 32-bit version of Java. This version will work on both 32-bit and 64-bit versions of Windows."
